Personal Data

Personal data comprise any information about an identified or identifiable natural person. For you, this means that this information is directly about you or can be traced back to you. This may be your name, date of birth and address. Your email address and telephone number are also personal data.

The processing of personal data concerns all actions we may perform with your personal data, from collection through to destruction. Therefore, this is a very broad concept. Actions that are in any case covered are: the collection, recording, organisation, storage, updating, modification, retrieval, consultation, use, forwarding, distribution, making available, assembling, blocking, erasing and destruction of data.

Cookies and website use

Sunny Cars uses technical and functional cookies. Functional cookies ensure that a website is functioning properly. For example, it reads your browser settings for an optimal display of our website, allows you to view videos, keeps track of which language setting you have selected, and allows what you enter in text fields to be saved.

In addition, Sunny Cars uses analytical cookies to improve the website and to better tailor our products and services to your preferences. The following information will be collected:

  • In case of online job applications: we need the data to be able to decide whether we want to enter into an employment contract with you;
  • It is in the legitimate interest of us or third parties, and these interests outweigh your interests or rights.
  • Example: By looking closely at your personal data, we have a better understanding of your interests. This is how we try to predict what other products, services and information might interest you, so that we can make our marketing communications more relevant and interesting for you.

 

Processed personal data

We offer a range of services on our website. You can, for example, use our booking and reservation system on our website; contact us via a contact form; apply for a job online; use our blog; create an account; subscribe to our newsletter; and use payment services. Below, we discuss per service which personal data related to you are processed.

 

Website visit

If you visit our website (without a Sunny account) we will process the following data related to you:

  • IP addresses.

If you visit our website (with a Sunny account) we will process the following data related to you:

  • Name and address info;
  • Email address;
  • Password;
  • Title (gender);
  • IP address;
  • Optional: phone number and date of birth.

 

Use of our booking and reservation system
On our website we offer a booking portal for rental car reservations. The following personal data are recorded during the online booking process:

  • Name and address of the driver;
  • Age of the driver;
  • Email address;
  • Payment method and payment information;
  • IP address;
  • Booking code;
  • Customer number.

Optional:

  • Phone number;
  • Flight details.

 

Contact forms and email contact
On our website you will find a contact form that can be used for electronic contact. If you use this option, the data entered in the input window will be sent to us and stored with us.

Post a comment on our blog
Readers can post comments and blog contributions on our public blog. The personal data of the person posting a comment are recorded and processed. This concerns the following data:

  • Your username;
  • Date and time of your comment;
  • Your IP address;
  • Your email address.

We process the above data to prevent abuse of the blog service.

 

Create an account
During the online booking process you can create a Sunny account. During your next booking you can then select the Quick Check In service, for example. The following data are recorded during the registration process:

  • Email address;
  • Password;
  • Title (gender);
  • First and last names;
  • Address (street and house number, postcode and city);
  • Language;
  • Optional: phone number and date of birth.

 

Subscription to our newsletter
You can sign up to our newsletter for free on our website. When you subscribe to the newsletter, data from the input window are sent to us and stored with us. The following data are saved when you subscribe:

  • Email address;
  • Subscription number;
  • User IP address;
  • Origin of the registration;
  • Date and time of the application;
  • Date and time of consent for the Double Opt-In;
  • Subscription text (consent text);
  • Subscription status.

We use your email address to send you the newsletter. Your other data, which have been stored when you subscribed to the newsletter, serve to ensure that the given consent can be demonstrated.

There is an unsubscribe link in each newsletter. Unsubscribing from the newsletter can therefore be done at any time!

Use of payment services
With certain payment methods, you will be redirected to the website of the payment service provider during the payment procedure. The processing of data will then be performed by the payment service provider.

 

Online job application
You have the option to apply for a job through our website. We only process the personal data you send us during an online application to perform the application process. During the application process, the following data concerning you will be processed by us:

  • Email address;
  • Application documents;
  • First and last names;
  • Phone number.

If the application process is not successfully completed, we will destroy your application details within four weeks of the completion of the process, unless you give us permission to keep your application letter. In that case, we will destroy your application data after one year of the end of the application process.

 

Use of third-party applications
Like many other companies, we use extensions from third-party providers (social media, analysis tools, marketing tools, etc.). In doing so, personal data (e.g. IP numbers, information from pseudonymised cookies, geodata, etc.) can be passed on or automatically forwarded to the third-party providers. The nature, scope, purpose and duration of the processing of personal data may vary from case to case.


Storing your personal data
When storing personal data, our starting point is that we do not store data longer than is necessary for the purpose for which we have processed them. More specifically, we store personal data that we obtain in the context of bookings, purchases or for the implementation of other agreements for as long as necessary to complete your booking(s). We observe the statutory retention periods, if any.

Security
Sunny Cars ensures that your personal data are protected. We are continuously working at improving our measures to prevent misuse, loss, unauthorised access, unwanted disclosure and modification of any kind.

 

Suppliers and (sub)processors
To be able to provide our products and services, we use the services of suppliers and (sub)processors. Personal data are shared with these parties only if there is a formal basis for this and if this is necessary for the supply and performance of our products and services. We only engage suppliers and (sub)processors who can demonstrate that your personal data are well protected and processed within areas where an appropriate level of security is in place, as required by the GDPR.

 

Your rights

You have the right to inspect and correct your personal data, but also the right to data export, deletion, restriction of processing, objection, and being forgotten. That’s why we have set up processes to allow you to exercise your rights.
